FAMIS Security Requests and Roles
System Access requests for FAMIS are processed by the Northwestern University Office of Financial Operations, email@example.com.
Access FAMIS according to your role:
FAMIS Self-Service is for department staff who need to request services from Facilities Management (FM).
- Request access to Self-Service by filling out the Express Security Access Form.
- For help for filling out the form, see the Facilities Management Express Form Job Aid.
- Log in to Self-Service via the NUPortal > Facilities > FAMIS Self Service tab.
FAMIS Admin and FAMIS Web are for Central Facilities Management users who must process and provide work on requested services, projects, and preventative maintenance for the University, as well as School and Department administrators who approve work requests processed in FAMIS.
- Request access to FAMIS Admin and Web by filling out the Central Security Access Form.

Below is a list of roles in the system. Please note that each system user may have multiple roles.
User: This role is for non-FM personnel who must create service requests with Facilities Management throughout the year. This role only has access to FAMIS Self Service.
FAMIS Admin School/Department Roles
Budget Administrator: This role is for central administrative users outside of FM. This role provides read-only access to Maintenance Management forms, including Equipment, Projects and Work Orders. It also provides FAMIS delivered reports for each of those areas.
Department Approver: This role is for administrative employees outside of FM. This role provides users the access to update Services Requests and the Service Request workbench so that they can approve service requests where applicable.
School/Dept User: This role is for central and school/departmental staff outside of FM. Read-only access to Projects, Service Requests and Work Order forms and all FAMIS delivered reports specifically pertaining to buildings.
FAMIS Admin Central Facilities Management Roles
Administrative Support: This role is for clerical-support employees in FM who have responsibility for labor and material entries and work order closing.
Customer Service: This role provides access for customer service employees in FM to create and assign work orders and projects, maintain billing information, and perform research needed to respond to any queries about work performed or managed by FM.
Equipment Administrator: This role provides FM employees specific access to all Equipment and Preventive Maintenance procedures and schedules.
Field Technician: The first of the two Field Technician roles, this access provides FMO employees with information regarding their assigned work orders.
Field Technician 2: The second of the two Field Technician roles, this access provides FMO employees the ability to view their assigned work orders, as well as viewing information on the Project, Equipment, or PM associated with their work orders.
Financial Administrator: This role provides access to most Maintenance Management and Inventory Control forms, including access to job costing functionality and all other functions required to support, research and correct billing and recharge activities.
Inventory Administrator: This role provides access to purchasing and inventory control.
Manager: This role is for FM personnel who must manage shop supervisors, University real estate, or provide administrative assistance to FMDC personnel.
Project Manager: This role provides access to Maintenance Management areas of FAMIS with particular emphasis on project management and estimate routing.Scheduler: This role is for FM employees who are primarily responsible for scheduling routine maintenance, preventative maintenance and project-related work.
Supervisor:This role provides access to all Maintenance Management areas, including labor approvals, scheduling and project management-related activities.
System Administrator: This role is for FM IT employees only. It provides access to all Maintenance Management and Inventory Control forms and reports, excluding Security-related applications.
NUPD: This role provides access to FAMIS Web for Police Department (NUPD) users who are authorized to enter work orders for immediate response by Facilities Management during non-business hours.
Residential Services: This role provides access to FAMIS Web for Residential Services users who are authorized to enter work orders for issues in Residential Services buildings.
