Collaboration Services: Storage Quota Management

Storage quotas within Northwestern Collaboration Services accounts apply to email, contacts, tasks, and any other information within your account. Since all accounts are server-based and hosted by the University, Northwestern IT has implemented a quota policy to mitigate performance issues, and to contain costs associated with increased storage needs.

The default quota for faculty and staff accounts is 25 GB.

Northwestern’s server-based email system offers the benefits of centralized storage and data access, as well as incremental backup and recovery. Collaboration Services allows multiple devices (PCs, mobile phones, tablets, etc.) to access your account and synchronize seamlessly.

Managing Your Account Quota

You can take a few simple steps to manage your Northwestern Collaboration Services account quota:

Requests for Quota Increases

If you have reached 90 percent of your quota, have followed the steps above to reduce the size of your account, and have a demonstrated business need for a quota increase, a Dean, Department Director, or Department Chair must send a request to the IT Support Center.  Please make sure in the email to state the user is at (or above) 90% of their quota, and have tried to reduce their mailbox size using the instructions provided on the Northwestern IT website.

Quota Notifications

Primary Mail File (25 GB): You will start receiving daily notifications that you are near your quota when you reach 95 percent of your storage capacity. If you reach 100 percent of your quota, you will continue to receive email but will not be able to send email. If you reach or exceed 105 percent of your quota, you will not be able to send or receive new messages. Once you have reached this threshold, all mail sent to you will bounce back to the sender, with a system generated message notifying them that your mailbox is full.
