WebEx at Northwestern

WebEx, powered by Cisco Systems, is a cloud-based meeting tool for hosting and attending online meetings. It is available to Northwestern students, faculty, and staff for instruction and collaboration.

Anyone can be invited to a Web Ex meeting. Meeting participants can attend by telephone, on their computer, or via smartphone and tablet. WebEx Mobile App.

WebEx Features

Web-based audio and video conferencing can be hosted via desktop through the WebEx Meeting Center. It’s compatible with Windows, Mac, and Linux operating systems. Account holders also have access to additional "Centers" to organize an event or provide training to a dispersed group. Feature List and Comparison Matrix.

Additional features and benefits include:

*Depending on the Meeting Center service type, up to 500 participants may be able to join when using VoIP or other teleconference service. Up to 1000 participants may be able to join a WebEx Meeting Center meeting when using WebEx Audio. The participant total includes the host, note taker, and closed captionist.

Hosting a Meeting

Before hosting your first meeting, you will need to have a WebEx account.

  1. Go to https://northwestern.webex.com
  2. Click the My WebEx tab.
  3. Log in with your NetID and NetID password and enter your credentials for Multi-factor Authentication when prompted. About Multi-factor Authentication.

Note: WebEx accounts that have been inactive for a period of three (3) months will be temporarily deactivated. Account holders may reactivate their WebEx account by contacting the IT Support Center

Installing WebEx Productivity Tools for Outlook

WebEx Productivity Tools is an optional plug-in that allows you to schedule, start, and join meetings quickly without going through your WebEx site.

The first time you sign in to https://northwestern.webex.com, you will be prompted to download and install WebEx Productivity Tools. 

Once installed, to schedule a meeting, select the WebEx icon This is the logo for WebEx - a ball divided vertically in half by the colors blue and green to add a WebEx meeting to your Microsoft Outlook calendar invitation.

Joining a Meeting

Joining a meeting is easy. Simply click on the link provided in the meeting invitation email or calendar invitation.

WebEx Mobile App

There is also a WebEx app to host and/or join meetings on the go using a mobile device such as, an iPad or smartphone. User guides with instructions for downloading and using the WebEx app for iOS and Android devices are available in the Cisco Help Central for Mobile Meetings.
