Course Management System Administration: CourseLife

Audience:

• People who have the role of "instructor" in the Course Management System
• Benefits all users of the system

Policy Statement:

Course sites that are older than two years will be removed from the production server(s) of the Course Management System unless an instructor requests that sites be retained.

Scope:

All course sites in the Northwestern Course Management System are subject to this policy.

Guidelines:

• Course sites that are older than two years will be automatically archived through a process managed by Academic & Research Technologies approximately 3 weeks into each quarter. “Archiving” indicates that the course site will be removed from the production server and stored on another server.
• If the instructor does nothing, the courses sites older than two years will automatically be archived.
• At the end of each quarter, courses which were never used will be deleted.
• At the end of the quarter, courses which have no instructors will be deleted.
• A page within the Course Management System will be provided for instructors which will show their current courses and archived courses.
• Instructors will have the option to “Archive” courses or “Exempt from Archive".
• Instructors will have the option to “Restore” archived courses. “Restore” indicates that the course will be returned to the production server. "Secondary" instructors can restore courses.
• The instructors should see which courses are about to be archived before the end of the quarter. If they choose, they may exempt their course from being archived at the end of the quarter.
• The processes will be scheduled appropriately to limit load on the system.

Exemption Process:

All instructors will have the option of exempting their course(s) from the archival process. Additionally, after a course has been archived, it can be re-installed on the production server.
