Short-term NetID Policy

Audience:

All members of the Northwestern Community and users of the University network.

Definition:

Allow short-term visitors the ability to access the Northwestern University Network, including NU Library online resources and lab computers, Course Management System (CMS), Virtual Private Networking (VPN), and NetPass.

Policy Statement:

Short-term Network Identifications (NetIDs) can be administered by departments or Northwestern University Information Technology (NUIT) to allow short-term visitors the ability to access the Northwestern University Network.

Background Issues:

Intended users

Classes of University visitors who are eligible to use short-term NetIDs include, but are not limited to:

  • vendors demonstrating their products,
  • visitors presenting at seminars or colloquia,
  • visiting scholars (faculty, graduate students, post-doctoral fellows, etc.) who need to access resources from their home institutions,
  • visitors needing one or two days of network access at Northwestern.

Short-term NetIDs are not intended for use by individuals whose stay at the University will be longer than 30 days. Separate NetIDs should be arranged for persons staying at the University for more than 30 days.

How to obtain a short-term NetID

Short-term NetIDs can be created by a NetID administrator with approval from the dean, department chair, director, or the area vice president. Alternately, a dean, director, department chair, Feinberg administrator or vice president can e-mail a request to  email-accounts@northwestern.edu with the following information:

  1. department name
  2. number of short-term NetIDs requested
  3. dates the NetIDs will be needed

The short-term NetIDs and passwords will only be sent to the authorized requestor.

Departmental and school NetID administrators and/or requestors are required to keep a list of temporary/short-term NetID users, complete with name and contact information, for at least 90 days past the expiration date of the NetID. You may download the Short-Term NetID User List form to complete for your use. This is necessary to ensure that a short-term NetID holder can be held accountable if network abuse is detected.

Short-term NetIDs are active for up to 30 days. There will be no notices regarding NetID expiration. Short-term NetIDs cannot be renewed. If a user requires access for longer than 30 days, a separate NetID should be arranged.

Support Contact

The department is responsible for any technical support for the user of the short-term NetID, including wireless configuration. It is advisable to test the NetID before it is needed to ensure it meets a department's needs.
